Hachiko Financial USA Corp. is establishing a new financial advisory company in Miami and it’s looking for a competent Executive Administrative Assistant / Secretary to provide
personalized secretarial and administrative support in a well-organized and timely
Act as the point of contact between Hachiko Financial USA Corp. and internal/external clients.
Receive and make follow up calls, taking messages, reviewing voice mail and all email correspondence.
Handle daily requests and last minute queries appropriately.
Maintain calendar of work and summits, arrange meetings and appointments and provide reminders.
Make travel arrangements for the head of the company.
Take dictation and meeting minutes.
Produce reports, statistics and Power Point Presentations and other secretarial duties whenever necessary.
Maintain proper inventory of office supplies and responsible for relationships with suppliers.
Develop and carry out an efficient online documentation and filing system.
Managing deadlines with local authorities and organize reminders to the management.
Full comprehension of office management systems and procedures
Excellent knowledge of MS Office – Word, Excel, PowerPoint
Exemplary planning and time management skills
Bilingual preferred (French, Italian, Spanish)
Ability to multitask and prioritize daily workload
High level of English verbal and written communications skills
